This Privacy Policy explains how Ask April Mai (“Ask April Mai,” “we,” “us,” or “our”) collects, uses, discloses, and protects personal information when you visit askaprilmai.com, contact us, schedule an appointment, communicate by telephone or text, or request help with Medicare or life insurance. It also explains privacy choices and rights that may apply to residents of California, Oregon, North Carolina, and South Carolina.

This policy applies to our website and the insurance-related services we provide as an independent licensed insurance producer. It does not replace a carrier’s, health plan’s, quoting platform’s, CRM provider’s, appointment provider’s, or other third party’s privacy notice. Their privacy practices apply when you use their services or submit information directly to them.

1. Information We Collect

Information you provide directly

We may collect your name, email address, telephone number, mailing address, state of residence, preferred contact method, appointment details, questions, and other information you submit through forms, email, telephone, text, or meetings.

When you request insurance guidance, a quote, an application, enrollment assistance, or a coverage review, we may collect information reasonably needed to evaluate available options or complete your request. Depending on the product and stage of service, this may include date of birth, household information, Medicare eligibility or enrollment information, current coverage, provider and pharmacy preferences, prescription information, health history, tobacco use, financial or beneficiary information, and other insurance-application information. Please do not submit Social Security numbers, Medicare Beneficiary Identifiers, payment-card details, financial-account credentials, or detailed medical information through a general website contact form or ordinary email unless we specifically provide a secure method and request it.

Communications and recorded calls

Telephone calls placed through or received on certain business or compliance platforms may be recorded and may be transcribed or summarized. A recording notice is provided when the platform records a call. We may retain call recordings, transcripts, summaries, and related contact records for quality, service, training, documentation, fraud prevention, and legal or regulatory compliance. Text messages sent to or from our business or agent number may be stored with your client or prospect record.

Website and device information

When you visit the website, we and service providers may automatically collect information such as IP address, device and browser type, operating system, referring page, pages viewed, links clicked, approximate location derived from IP address, date and time of access, cookie identifiers, and interactions with forms or appointment links.

Information from other sources

We may receive information from insurance carriers, agencies, field marketing organizations, quoting or enrollment platforms, CRM and communications providers, lead sources, referral partners, public records, and other sources when permitted by law. We may combine that information with information you provide.

2. How We Use Information

We use personal information to respond to inquiries; schedule and manage appointments; provide educational guidance; assess insurance needs; compare available products; prepare quotes; assist with applications or enrollments; service client relationships; communicate about requested services; document consent and required scope-of-appointment information; maintain records; improve our website and services; measure advertising and website performance; prevent fraud or misuse; protect our rights and systems; comply with carrier, licensing, legal, regulatory, and record-retention obligations; and carry out other purposes disclosed when information is collected or with your consent.

Sensitive personal information, including health and insurance information, is used only as reasonably necessary to provide requested insurance services, comply with law, secure accounts and records, prevent fraud, or for another purpose permitted by law. We do not use sensitive personal information to infer characteristics for unrelated advertising.

3. Cookies, Analytics, and Advertising

Our Squarespace website and embedded or linked services may use cookies, pixels, tags, local storage, and similar technologies. We may use Google Analytics, Google Ads, and related tools to understand website use, measure campaign performance, attribute inquiries or appointments, prevent fraud, and improve advertising.

Some analytics or advertising activity may be considered “sharing” under California law or “targeted advertising” under Oregon law, even when no money changes hands. Where required, you may opt out through the website’s cookie or privacy controls, a recognized browser-based opt-out signal such as Global Privacy Control, or by contacting us using the information below. Disabling cookies may affect website functionality. Browser “Do Not Track” signals are not uniform; we respond to legally recognized opt-out preference signals where required.

4. How We Disclose Information

We may disclose personal information to service providers and processors that support website hosting, analytics, advertising, appointment scheduling, email, telephone, texting, call recording, CRM, document storage, security, quoting, enrollment, and business operations; insurance carriers, health plans, agencies, field marketing organizations, and authorized insurance or Medicare platforms when necessary to provide quotes, compare options, submit or service an application or enrollment, or comply with applicable rules; professional advisers, auditors, regulators, law enforcement, courts, or other parties when reasonably necessary to comply with law, respond to lawful process, investigate misconduct, protect safety or rights, or establish or defend legal claims; a successor or transaction participant in connection with a merger, sale, financing, reorganization, or transfer of all or part of the business, subject to appropriate confidentiality and legal requirements; and other parties at your direction or with your consent.

We do not sell personal information for money. We do not knowingly sell or share the personal information of people under 16. We do not disclose nonpublic personal information to nonaffiliated third parties except as described in applicable notices, as needed to provide requested services, as permitted or required by law, or with consent.

5. Text Messages and Email

If you provide a telephone number or email address and ask us to contact you, we may use it to respond, schedule appointments, provide requested service communications, and follow up about insurance needs. Consent to receive marketing texts is not a condition of purchasing insurance. Message and data rates may apply. Message frequency varies.

You may opt out of marketing texts by replying STOP and may request help by replying HELP. You may unsubscribe from marketing email using the link in the message or by contacting us. We may still send nonmarketing messages that are necessary to respond to a request, complete a transaction, service an existing relationship, or comply with law.

6. Data Retention

We retain personal information only as long as reasonably necessary for the purposes described in this policy, including to provide and service insurance-related requests, maintain required records, document communications and consent, resolve disputes, enforce agreements, and meet carrier, Medicare, licensing, tax, legal, and regulatory obligations. Retention periods vary by record type and applicable requirements. When information is no longer needed, we take reasonable steps to delete, destroy, or de-identify it.

7. Data Security

We use reasonable administrative, technical, and physical safeguards designed to protect personal information. These may include access controls, secure service providers, authentication, encryption where supported, and procedures for handling sensitive information. No system or transmission is completely secure. You should use secure channels provided for sensitive information and avoid sending sensitive identifiers through ordinary email, text, or a general contact form.

8. Your Privacy Choices and Rights

Rights available to all visitors

You may ask to access, correct, or delete personal information we maintain about you; withdraw consent where processing is based on consent; opt out of marketing communications; or ask questions about our privacy practices. Some requests may be limited by identity-verification requirements, legal obligations, insurance recordkeeping, fraud-prevention needs, or other lawful exceptions.

California residents

If the California Consumer Privacy Act, as amended by the California Privacy Rights Act, applies to our processing, California residents may have the right to know the categories and specific pieces of personal information collected; request correction or deletion; obtain information about sources, purposes, and categories of recipients; opt out of sale or sharing; limit certain uses or disclosures of sensitive personal information; and receive equal service and pricing without unlawful discrimination for exercising privacy rights.

For the categories described in this policy, we collect identifiers and contact information; customer and insurance-related records; internet or electronic activity; approximate geolocation; audio, electronic, and communications information; professional or employment information when relevant; inferences used to understand insurance needs; and sensitive personal information such as health, insurance, account-access, or government-identifier information when necessary and lawfully collected. We use and disclose these categories for the business and service purposes described above. We do not sell personal information for money. Website advertising or analytics disclosures may qualify as “sharing”; you may opt out as described in Section 3.

California rights may not apply to information governed by or exempt under other laws, including certain information subject to the Gramm-Leach-Bliley Act or applicable insurance privacy laws. An authorized agent may submit a request, subject to verification of the agent’s authority and, where permitted, verification of your identity.

Oregon residents

If the Oregon Consumer Privacy Act applies to our processing, Oregon residents may have the right to confirm whether we process personal data; access and obtain a portable copy; correct inaccuracies; delete personal data; obtain a list of specific third parties to which personal data was disclosed where required; and opt out of targeted advertising, sale of personal data, or profiling in furtherance of decisions that produce legal or similarly significant effects.

We will obtain consent before processing sensitive data where required. You may withdraw consent using the same or a substantially similar method to the one used to provide it. If we deny an Oregon privacy request, you may appeal by replying to our decision or contacting us and stating “Privacy Appeal.” We will respond as required by applicable law and explain how to contact the Oregon Attorney General if an appeal is denied.

Oregon rights and obligations are subject to statutory thresholds and exemptions, including exemptions that may apply to certain financial, insurance, health, or other regulated information.

North Carolina residents

North Carolina residents may request access to and correction of certain insurance information as provided by applicable North Carolina insurance information and privacy laws. We provide privacy notices when required and restrict disclosure of nonpublic personal information except as permitted by law, necessary to provide requested services, or authorized by you. North Carolina law also requires appropriate handling of personal information and notice of qualifying security breaches. These rights and duties may be subject to verification, record-retention rules, and statutory exceptions.

South Carolina residents

South Carolina residents may request information about our privacy practices and may ask to access, correct, or delete personal information, subject to applicable law and insurance recordkeeping requirements. As an insurance licensee, we maintain safeguards for nonpublic information and respond to cybersecurity events and required notices under applicable South Carolina insurance data-security and breach-notification laws. South Carolina does not currently provide the same general consumer-rights framework as California or Oregon; however, we will consider verified privacy requests consistently where doing so does not conflict with law or necessary business records.

9. How to Submit a Privacy Request

Email april@askaprilmai.com with the subject “Privacy Request,” or call 704-593-8337. Describe the right you wish to exercise and the information or service involved. We may request information reasonably necessary to verify your identity and authority. Do not send sensitive identifiers by ordinary email. We will use verification information only for the request and will respond within the period required by applicable law.

You may use an authorized agent where applicable. We may require proof of authorization and may ask you to verify your identity directly. If a request is denied, we will explain the reason and any available appeal process. We will not unlawfully discriminate against you for exercising a privacy right.

10. Children’s Privacy

Our website and services are intended for adults seeking insurance information and are not directed to children under 13. We do not knowingly collect personal information directly from children under 13 through the website. If we learn that we collected such information without required authorization, we will take reasonable steps to delete it. A parent or guardian may contact us with a request.

11. Third-Party Websites and Services

The website may link to or embed services operated by third parties, including appointment, analytics, advertising, insurance, quoting, enrollment, CRM, or social-media providers. Their privacy policies govern their services. Review those policies before providing information. We are not responsible for third-party privacy practices that we do not control.

12. Changes to This Policy

We may update this Privacy Policy to reflect changes in law, technology, vendors, or business practices. The updated version will be posted on this page with a revised “Last updated” date. Material changes will be highlighted or communicated when required by law.
